Roslindale Village Main Street (RVMS) is an established nonprofit with more than 40 years of successful urban placemaking, community development, and local business promotion. We are seeking a full-time Events Coordinator to join our team.

 

Overview:

RVMS is seeking an Events Coordinator to oversee the organization's recurring and special events. This is a robust event calendar: equivalent to 15+ individual events and over 60 individual and recurring events a year, including the Summer and Winter Farmers Markets, Holiday Market, Tree Lighting, Dumpling Festival, and Pride on the Plaza. The Events Coordinator is responsible for full end-to-end event management and will contribute to the ideation of new and ad hoc events.


The Events Coordinator reports to the Executive Director, leads the Event Volunteer Committee, and supervises the part-time, seasonal Market Manager and Market Ambassadors. This is a full time, exempt position.

Responsibilities:

Recurring & Special Event Management (Farmers Markets, Holiday Market, Tree Lighting, Dumpling Festival, Pride on the Plaza, and other events)

  • Manage all event logistics including creation and ideation, planning, budgeting, permitting, day-of set-up and breakdown, maintenance and storage of RVMS equipment and materials, and recruitment and oversight of vendors, volunteers, and staff on the day of each event.

  • Secure programming, including researching and booking entertainment and a sound engineer, and receiving invoices and ensuring timely payment.

  • Recruit, respond to, and coordinate participation of vendors, sponsors, community partners, and Roslindale Village businesses in organizational events to ensure diversity and vibrancy.

  • Manage and lead the RVMS Farmers Market Manager and the Market Ambassadors, including coordinating responsibilities, delegating tasks, and preparing them to lead markets. Working closely with the Farmers Market Manager, review and establish policies and procedures to ensure market and event integrity.

  • Continue to drive outreach and growth initiatives in terms of general market/event promotion, vendor diversity, food access initiatives, and funding diversity.

  • Track and obtain proper permitting, including coordinating with Boston's Parks Department, Inspectional Services Department, the Events Team, and more.

  • Assist vendors, community representatives, and consumers by providing event- and market-related information, conflict resolution, and general aid as appropriate.

  • Enforce market and event rules and policies and share information about rules and policies with vendors and customers.

  • Oversee all event and Farmers Market inventory and related materials.

  • Develop and maintain event maps and vendor layouts across the neighborhood, coordinating placement to ensure smooth foot traffic, accessibility, and use of public space.

  • Coordinate with the Program Coordinator to identify volunteer needs for events.

  • Coordinate with the Program Coordinator to ensure that promotional materials are in place, including hanging flyers, posting events on city-wide calendars, and more.

  • Coordinate with the Events Committee to ensure all aspects of each event are brought to fruition.

 

Permitting & City Coordination

  • Serve as the primary point of contact for permitting and licensing across all RVMS events, including parks permits for Adams Park and seasonal permit for Birch Street Plaza. 

  • Manage food access benefits, including coordinating with the Mayor's Office of Food Justice, overseeing SNAP, and other benefits. 

  • Coordinate with the Mayor's Office of Public Events for permits, access to Birch Street Plaza, and approvals related to special events

  • Coordinate with the Boston Inspectional Services and/or Police Department on event and food safety and required details for larger public events, food festivals, etc. 

  • Maintain relationships with relevant city departments (e.g., Inspectional Services) to ensure events remain compliant year over year.

 

Vendor, Sponsor & Financial Administration

  • Oversee billing and invoicing for all event and market vendors, including tracking payments and resolving discrepancies.

  • Coordinate sponsorships for recurring and special events including fulfilling sponsor commitments.

  • Develop and manage event budgets in coordination with the Executive Director, Board Programming Committee, and leadership team. 

  • Collect and process payments for RVMS Market Bucks, Office of Food Justice Coupons, HIP/SNAP payments, merchandise sales, and more. 

  • Use QuickBooks to create, track, and send vendor payment invoices.

  • Keep accurate records of event entertainment and programming, including payment, performance schedules, performer needs, and more.

  • Research and help secure fundraising opportunities.

  • Draft, and revise as necessary, vendor layout maps and weekly schedules of entertainment or special activities during farmers market seasons.

 

Events Committee Management

  • Manage the Events Committee — roughly 20 volunteer members led by two Co-Chairs — convening and leading monthly meetings to develop, plan, and steward RVMS's recurring and special events.

  • Set meeting agendas and ensure committee input is incorporated into event planning and execution.

  • Work closely with the two committee Chairs to align on priorities and delegate follow-up items among the broader volunteer membership.

 

Qualifications:

  • 2+ years of experience in public event planning, coordination, and/or management.

  • Strong relationship-building, communication, and organizational skills.

  • Must be willing and able to work outdoors and to safely lift and carry 50 pounds.

  • Nights and weekends required: work at special events, ability to come to special markets as needed, and lead Events Volunteer Committee meetings once a month on Monday nights. Generous flex time policy offered. 

  • Proficiencies: Experience with Microsoft Office required; Adobe Suite and Quickbooks preferred.

  • Passion for food justice, economic development, urban planning, and community building a plus. 

 

Position Details & Benefits:

  • Schedule: In-person at the Roslindale office 4 days/week, 1 day remote.

  • Compensation: Annual salary range of $50,000-$60,000.
